Your registration certificate carries a set of coded legal figures. It documents legal ceilings and classification that stay valid regardless of what's loaded on top, but it doesn't capture the vehicle's current accessory-inclusive travel envelope. Route restrictions and ferry booking forms ask for different figures too — some come straight off a document, some you measure yourself, some are specific to one operator — and matching the wrong figure to the wrong question can mean a bridge you can't clear, or, under the ferry terms checked for this guide, an unexpected port charge or refused boarding.
This guide walks through building one document — a vehicle profile — that keeps those figures separate. It records what an authority recorded and what the statutory plate says, alongside what you measure yourself and what a ferry operator wants at booking. Fill it in once, keep it current, and you'll have the right figure ready whenever a restriction or a booking form asks for a specific number.
Why your registration document is only the first layer
Directive 1999/37/EC sets out harmonised Community codes for your registration certificate, covering mass, axle count and wheelbase, but it does not provide a harmonised code for overall travel height, width over mirrors or other projections, or physical length once accessories are fitted.
That's why the certificate is a reliable source for the fields it documents — mass ceilings, category, axle count, wheelbase — but on its own it doesn't answer a request for a dimension or current condition it was never designed to record, such as accessory-inclusive height or length.
Here are the Directive's harmonised code meanings worth knowing — your own certificate's wording is the one to keep:
- F.1 — technically permissible maximum laden mass.
- F.2 — maximum permissible laden mass in the country where the vehicle is registered.
- F.3 — maximum permissible mass of the loaded combination, where a combination value applies.
- G — mass in service, as defined on the certificate.
- J — vehicle category.
- O.1 / O.2 — maximum towable mass, braked and unbraked.
- L — number of axles.
- M — wheelbase.
- S.1 — number of seating positions, including the driver.
Treat this as a starting point. National certificates word these codes differently, and what a given figure means for a specific rule, toll or restriction depends on the authority applying it, not on the code label alone. Copy the exact wording your own document uses into the matching field of your profile.
A vehicle profile is a planning record you control, not a certificate: it does not certify legal road access, loading compliance, licence entitlement, route fit, or ferry boarding acceptance, and any unconfirmed or conflicting figure needs checking with the competent authority, manufacturer, converter, rental provider, or operator before you rely on it. That boundary governs the template and checklist that follow.
If you're renting, don't wait until you've collected the keys to start this. Until the provider confirms the exact assigned vehicle and its records, treat a booking's vehicle "class" as unconfirmed for profile purposes — it may not describe the specific vehicle you'll be handed at the counter. If your trip depends on a tight restriction, ask the rental provider for the assigned vehicle's registration figures, plate values and travel dimensions before you book. Can't get them in advance? Mark that entry unresolved rather than assuming a typical vehicle in the class. Once you collect the actual vehicle, its own certificate and plate become your real sources, and the class-based estimate no longer matters.
Legal mass, actual weight, and converter plates
A registration certificate gives you ceilings, not a reading. It won't tell you what the vehicle actually weighs on a given morning, loaded with water, gas, food and luggage. Towing adds separate trailer and combination figures on top, and they must stay distinct.
Transportstyrelsen's guidance distinguishes totalvikt, the registered permissible maximum mass built up from tjänstevikt plus maxlast, from bruttovikt, the vehicle's actual weight at a given moment; for a towed combination, maximal släpvagnsvikt caps the trailer's own actual weight and maximal tågvikt caps the combined actual mass of both vehicles — these are Swedish statutory terms, not a universal European vocabulary. Carry that same distinction into your own profile: a registered ceiling recorded once, and a measured, day-of weight, belong in separate fields. The exact terms — and how a country defines and applies them — are a national matter, so check them against wherever your vehicle is registered.
Alongside the registration certificate sits a second source: the statutory plate fixed to the vehicle. Regulation (EU) 2021/535 requires vehicle identification and, for the categories it covers, the technically permissible mass figures — maximum laden mass, maximum combination mass where that applies, and individual axle limits. It also sets extra plate requirements for vehicles built and approved in more than one stage, which matters because a campervan or motorhome converted from a base chassis by a separate manufacturer may carry a second, converter-issued plate alongside the original chassis plate.
Record every plate you find as its own entry, with its own figures. If two plates disagree, don't assume one automatically overrules the other. Leave the conflict marked unresolved and check with the chassis manufacturer, the converter, or the registering authority before you rely on either number.
If you're towing a caravan, keep three separate entries: the tow vehicle's own figures, the caravan's own figures, and the coupling's rated mass. Don't fold them into one number. Keeping the values distinct means an exact current request for either — the trailer's own weight or the combined hitched figure — can be answered without conflating them.
Measuring the real travel envelope for road clearances and ferries
Once the legal figures are recorded, there's one more layer that documents may not settle: the vehicle's current accessory-inclusive travel envelope — loaded, roof fittings on, mirrors out, any rack or box in place. Check first whether a manufacturer, converter or approval record already states it for your exact configuration; where none does, confirm it yourself with a safe ground-level measurement and record the date.
The figures below are drawn from operator terms published by three ferry operators, checked for this guide, not from a universal rule applying to every carrier — each operator sets its own booking declaration, and you should recheck the current booking flow directly with the operator before relying on any threshold, category or measurement method described here.
- Scandlines counts vehicle length as the full physical length in the booked configuration, including rear-mounted equipment and any towed caravan or trailer. Adding a car's catalogue length to a trailer's catalogue length separately isn't a reliable stand-in for measuring the hitched combination directly. Its published length bands run up to 6 m, 6–8 m, 8–10 m, 10–12 m, and over 12 m. Its passenger-car category caps out at 6 m long, with no more than nine registered seats and a maximum permissible mass of 3,500 kg.
- DFDS requires the declared overall vehicle dimensions to include additions such as bicycle racks, roof racks and tow bars. Declare it inaccurately and you risk an extra port charge or a refused boarding, because deck space is allocated from that booking declaration. Its motorhome categories — small, standard and extra-large — carry published ceilings of 4 m height by 7 m length, 4 m by 10 m, and 4 m by 12 m.
- Stena Line's FAQ lists a low-car ceiling of 2 m height, a high-car ceiling of 3 m height and 6 m length, and a motorhome or campervan ceiling of 4 m height, 12 m length and 2.6 m width. A vehicle booked in the motorhome or campervan category has to be registered as such with the relevant licensing authority, and accessories like roof boxes and bicycles count toward the declared height and length. If your motorhome runs past 12 m, Stena wants it booked as a lead-vehicle-and-trailer combination covering the full length, not under the standard motorhome category.
Across the three operators checked here, an "overall length" or "overall height" field asks for the vehicle's loaded, accessory-inclusive physical dimension. Match that request to whichever profile entry actually carries competent, configuration-specific provenance for it — any current record that reflects your exact accessories, whether an applicable registration, approval, manufacturer, or converter record, or your own dated safe measurement when no such record settles the requested dimension — because each operator sets its own wording and threshold, so don't assume this pattern applies elsewhere. Measure your own vehicle from the ground, in its actual travel setup — never from a ladder, the roof, or anywhere near moving traffic — and note the date. A new accessory changes the figure.

Worked example: resolving route clearances and ferry declarations
Two hypothetical profiles show how this works in practice. Neither vehicle is real — every figure and date below is made up for consistency, not chosen as typical or recommended.
Profile A — a single coachbuilt motorhome, fictional record dated 2026-05-10. The registration certificate gives F.2 (maximum permissible laden mass) as 3,650 kg, G (mass in service) as 2,950 kg, and J as category M1. The chassis plate, photographed the same day, shows a maximum laden mass of 3,650 kg, a front axle limit of 1,850 kg, and a rear axle limit of 2,100 kg. There's no separate converter plate on this vehicle. The chassis plate's maximum laden mass and the certificate's F.2 value are recorded as separate entries; both happen to read 3,650 kg for this fictional vehicle, so there's no numerical conflict to resolve, though the two remain distinct fields with distinct provenance. Measured that same day, with the roof-mounted air-conditioning and a rear-mounted bike rack fitted, the vehicle stands 3.15 m high, 2.35 m wide including mirrors, and 7.4 m long including the bike rack.
Say a route includes a bridge signed with a height restriction, and a ferry booking form asks for the vehicle's length including any attachments. For the bridge, you'd give the measured height of 3.15 m — not the manufacturer's unladen figure, which predates the air-conditioning unit. For the ferry form, you'd give 7.4 m, because the form asks for the accessory-inclusive figure. Take the bike rack off for this particular trip, and the length entry needs re-measuring and re-dating before the booking is confirmed — logged as a new row in the request log.
Profile B — a car and caravan combination, fictional record dated 2026-06-02. The tow vehicle's certificate gives a mass in service of 1,950 kg and a maximum braked towable mass of 1,800 kg. The caravan's certificate gives a registered maximum mass of 1,600 kg. The coupling's plate is rated at 1,800 kg. Measured with the caravan attached and the tow vehicle's roof box in place, the combined hitched length comes to 11.6 m.
A ferry operator's booking form asks whether the vehicle is a solo vehicle or a combination, and for a combination it wants the total hitched length. You'd answer "combination" and give 11.6 m — the measured hitched figure, since Scandlines' own terms warn that adding the tow vehicle's catalogue length to the caravan's catalogue length separately isn't a reliable substitute for measuring the hitched combination. If the operator's published combination category tops out at 11 m and this profile shows 11.6 m, log that mismatch as unresolved and contact the operator directly to confirm whether an oversize or separate combination booking applies — don't assume the extra 0.6 m won't matter at check-in. Because operator categories and thresholds are set independently by each carrier and checked only as of 2026-08-27, this comparison illustrates how to read one operator's own booking declaration and does not establish what any other operator's current terms request.
Pre-booking and route verification checklist
Run through this before you finalise a ferry booking or commit to a route with a signed dimension or mass restriction. It assumes you've already filled in the profile above.
- Find out exactly what figure is being asked for, and note who's asking. Log the authority or operator, the exact wording of the request, and today's date in the profile's request log — not just whichever field you think matches.
- Check solo vehicle or combination, and match the units and basis. If you're towing, work out whether the request wants the tow vehicle alone, the trailer alone, or the combined hitched figure. Confirm the unit — metres or kilograms — and whether it wants a registered ceiling or an actual measured value.
- Make sure your current accessories are in the dated measurement — and that the profile matches the vehicle you actually have. A rack fitted since your last measurement, or a box you've taken off for this trip, changes the figure; so does a rental handover, a repair, or a different assigned vehicle. Re-measure, re-verify, and re-date rather than reusing an old entry.
- Work out whether an actual laden mass is needed, and how you'd get one. If the request wants a current actual weight rather than a registered ceiling, mark it unresolved unless you've independently established it for the vehicle's current configuration through a lawful, suitable weighing channel. A rental provider's documentation or the vehicle's manual can confirm the registered specifications, but neither substitutes for a current weighing when the actual laden mass is what's being asked for. Don't assume a documented ceiling or an old weighing stands in for today's load.
- Match the unresolved figure to the right source before you call. A conflicting mass belongs to the manufacturer, converter, or registering authority; a booking-category mismatch belongs to the ferry operator; a rental vehicle's documented specification belongs to the rental provider; and doubt about current vehicle condition belongs to a qualified service. Contact that source directly if your configuration sits outside a published threshold, if two of your sources disagree, or a required figure stays unresolved — as the scope note above makes clear, a profile entry on its own doesn't confirm legal access, safe loading, licence entitlement, route fit, or boarding acceptance.
